The Problem With How Most Business Owners Use Instagram

I used to do that. I’d spend 20-30 hours a week making content. I hit burnout, stopped posting, and my account died. Then I rebuilt it, but with a system that took 98% less time.

Step 1: Document Everything: Stop Creating From Scratch
The biggest time waste is sitting down trying to “create content.” Staring at a blank screen. Thinking of ideas. Recording takes.
I stopped doing that. Instead, I just live my life and record everything I’m already doing.
I use OBS (free screen recording software) running in the background. It auto-records every sales call, every coaching session, every time I’m working on my laptop. It auto-uploads everything to Google Drive.
I don’t have to remember to hit record. It’s just always capturing.
Every conversation I have with a client becomes content. Every question they ask. Every objection. Every breakthrough. That’s all content I would have had anyway. Now it’s just documented.
Step 2: Use AI to Figure Out What’s Worth Posting
I don’t watch the recordings. I don’t decide what to post. AI does.
I built a system that takes every recorded video, transcribes it, and runs it through AI. The AI gives each clip a viral score based on how likely it is to perform well on Instagram.
My editors get a ranked list. They know exactly which clips are worth editing. No guessing. No wasted time editing content that won’t perform.
Step 3: Voiceover Reels
The highest-performing content format on Instagram right now is voiceover reels. You record your voice talking over B-roll or screen recordings.
I don’t script these. I don’t sit in front of a camera. I just talk into my phone while I’m walking, driving, or making coffee.
I’ll spend 3 minutes recording a voice memo. My editor takes that audio, finds relevant B-roll or screen recordings from my auto-recorded library, and turns it into a reel.
One of those 3-minute voice memos turned into a reel that got 5 million views. I didn’t write a script. I didn’t edit it. I just talked.
How to Spend 1-2 Hours a Week
Here’s the actual time breakdown:
- 0 hours: Recording. It’s all passive with OBS running in the background.
- 15 minutes: Voice memos: I record 3-5 quick voice memos throughout the week.
- 30-60 minutes: Review and approve, my editors send me drafts, I approve or give quick feedback.
That’s it. Everything else is automated or delegated.
The Real Result: Clients Who Come to You
This isn’t about vanity metrics. It’s about clients.
