I used to spend 20 hours per week on content. Now I spend 4. The output tripled. The quality improved. And my content books more calls than it ever did when I was doing everything manually.
The difference is not a magic tool or a secret hack. I built a content system. A repeatable process that produces consistent, high-quality content without depending on inspiration, motivation, or having a free afternoon.
This is the exact system I use for my own brand and the systems I build for the coaches and experts I work with.
What a Content System Actually Is
A content system is not a posting schedule. It is not a content calendar template. It is not “batch your content on Sundays.”
A content system is the complete infrastructure that takes your expertise and turns it into published content across platforms, consistently, without you being the bottleneck at every step.
It has five components:
- Knowledge capture – how you collect your ideas, stories, and expertise
- Content architecture – what types of content you create and why
- Production workflow – how content gets created (tools, AI, process)
- Distribution system – how content gets published across platforms
- Feedback loop – how you measure results and improve
Component 1: Knowledge Capture
Your best content comes from real conversations. Client calls, sales calls, DMs, comments, emails. Every interaction with your audience contains content ideas that you are probably ignoring.
I record all my calls and feed the transcripts into my knowledge base. Every client question becomes a carousel topic. Every objection becomes a reel script. Every result becomes a case study.
The system captures this automatically. I do not sit down and brainstorm content ideas. The ideas come from doing my job. The system just makes sure they get turned into content.
Component 2: Content Architecture
Random content does not convert. You need a structure that maps every post to a business outcome.
I use a three-layer architecture: attraction content for reach, trust content for credibility, and conversion content for sales. Every post falls into one of these categories. I post in a ratio of roughly 50/30/20.
Within each layer, I have specific formats that I rotate: carousels, reels, single images, stories, long-form captions. Each format serves a different purpose and reaches a different segment of the audience.
Component 3: Production Workflow
This is where AI changed everything. I use Claude to draft content based on my knowledge base, my voice rules, and the specific format I need. The AI does not replace my thinking. It replaces the hours of writing, formatting, and editing that used to consume my week.
My workflow:
- Monday: Review the week’s content seeds from calls and conversations
- Tuesday: AI generates drafts for 7-10 pieces of content
- Wednesday: I edit, refine, and approve each piece (1-2 hours)
- Thursday: Content gets scheduled across platforms
- Friday: I review performance from the previous week and adjust
Total time: 4-5 hours per week for daily multi-platform content.
Component 4: Distribution System
Creating content is half the job. Getting it in front of the right people is the other half. I use a scheduling system that publishes across Instagram, LinkedIn, email, and my blog without me manually posting anything.
Each platform gets content optimized for its format. The same core idea gets adapted: a carousel for Instagram, a text post for LinkedIn, a deeper article for the blog, a shorter version for email. One idea, four platforms, four formats.
Component 5: Feedback Loop
The system gets smarter over time because I track what works. Not vanity metrics. Business metrics: DMs generated, calls booked, clients signed.
Every month I review my top-performing content and identify patterns. Which hooks worked? Which topics resonated? Which CTAs generated the most responses? Then I feed those insights back into the system so next month’s content is stronger.
Building This for Your Business
You do not need to build all five components at once. Start with knowledge capture and production workflow. Those two alone will cut your content creation time by 60-70%.
If you want help building a complete content system for your business, I walk through the full process on my work with me page. I have built these systems for coaches, consultants, and experts across every niche. The framework is the same. The content is unique to you.
Frequently Asked Questions
How long does it take to build a content system?
A basic content system can be built in 2-4 weeks. The knowledge capture and AI setup take the most time upfront. Once the system is running, it takes 4-5 hours per week to maintain daily multi-platform output.
Can I build a content system without AI?
Yes, but it will take significantly more time. Without AI, expect to spend 15-20 hours per week on content production. AI cuts that to 4-5 hours while increasing output quality and consistency.
What tools do I need for a content system?
At minimum: an AI tool (Claude recommended), a scheduling platform, and a knowledge base (even a Google Doc works). The tools matter less than the process. A great system with basic tools outperforms no system with expensive tools.
How do I make sure AI content sounds like me?
Build a detailed voice guide: your word choices, your sentence structure, your storytelling style, words you never use. Feed this to the AI along with examples of your best content. Then edit every output before publishing. The AI handles production. You handle personality.
